Ashley Press: From Phone Orders to Fully Automated
How a national print company turned hours of admin per order into a system that runs itself.
The Problem
Ashley Press, a print company serving funeral directors across the country, took every order the same way: phone calls and emails. Every job meant retyping customer details, chasing missing information, manually preparing proofs, and sending them back and forth for approval.
With 12 trade clients each ordering regularly, and each with their own way of doing things, their own branches and their own requirements, the admin around each order often took longer than the print work itself. Orders arrived incomplete, details got transcribed wrong, and every mistake caught late cost time and materials.
Nothing was broken exactly. It just all depended on someone manually pushing every order through every step.
The Build
GrowthMatix designed and built a complete online ordering system around how Ashley Press actually works, not a generic off-the-shelf tool. Customers now place orders through a guided online form that collects every detail correctly the first time, tailored to each of the 12 trade clients, including multi-branch clients whose orders route with the correct branch address automatically.
Proofs are generated and sent automatically, approvals come back through the system, and confirmations go out without anyone touching a keyboard. Clients who prefer to have designs produced in-house follow their own dedicated flow. Each client also received their own plain-English guide to ordering, so the switch from phone to online happened without confusion or hand-holding.
Details of every build are shared with client permission.

The Result
Hours of admin per order, gone. Orders arrive complete, correct and confirmed, proofs move without chasing, and the team's time goes into print work instead of paperwork.
The system handles the routine; the people handle the craft. And because it was built around their clients' real habits, adoption wasn't a battle, the new way was simply easier than the old way for everyone involved.
What This Means For Your Business
The details are specific to print, but the shape of the problem isn't. If your orders, bookings or enquiries arrive by phone and email, get retyped by hand, and depend on someone chasing every step, the same approach applies: a guided intake that captures things right first time, automatic confirmations and follow-ups, and a process that runs without being pushed.
